Independent Forums Booking Terms and Conditions
The information below outlines Independent Forum’s standard terms and conditions for event bookings.
Independent Forums (“we”) accept bookings from delegates (“you”) for places at events on the following terms and conditions.
Credit card payment is required upon registration. We reserve the right to refuse admission to the event if payment has not been received.
Discount codes must be applied at the time of booking and cannot be applied once the booking has been processed. Only one type of discount can be used per booking.
Travel and Accommodation
Delegates are responsible for all travel and accommodation associated with attending the event. Travel costs and accommodation are not included in the delegate fee.
Code of Conduct
We are committed to providing a safe, harassment-free event experience for all participants and staff, regardless of gender, gender identity and expression, sexual orientation, physical ability, appearance, race, age or religion. While in attendance at an event, if we consider your behavior to be inappropriate, disruptive, offensive, dangerous or illegal, we may ban you from further participation in the event without a refund.
Ticket sales are final. However, substitute delegates can be nominated up to two working days ahead of the event. Please note that for digital events, substitutions are not possible once a delegate has logged onto the event platform at any time.
Please note that while speakers and topics are confirmed at the time of publishing, circumstances beyond the control of the organizers may require substitutions, alterations or cancellations of the speakers and/or topics. We reserve the right to alter or modify the program, format, and/or advertised speakers at any time without any liability to you.
Please note, we will not accept liability for connectivity/access issues caused by your Internet Service Provider, firewall and/or equipment.
Cancellation and Postponement
In the event that we change the event date or cancel the event for any reason except due to a Force Majeure Event (in which case the Force Majeure Event terms will apply), your delegate pass will be automatically transferred to the amended event. If we are promptly notified in writing before the date of the event that you do not wish to attend the rearranged event or if we elect not to rearrange the event, then you will (as your sole and exclusive remedy) be entitled to receive a full refund in respect of your fees we have received.
Where a Force Majeure Event has or may have an adverse impact on: (i) the ability to hold the event at the planned venue or on the planned date; or (ii) the event generally, then we are entitled but not obliged to either: (i) provide alternative facilities, formats or venue(s) for the event; and/or (ii) reschedule the event. Any fees we receive from you will be applied to any rearranged or rescheduled event held pursuant to this condition and you will not be entitled to claim any compensation as a result. If we are unable or elect not to rearrange or reschedule the event pursuant to this condition, then you will (as your sole and exclusive remedy) be entitled to receive a full refund in respect to the fees we have received from you.
For the purpose of this condition, a “Force Majeure Event” shall include, but not be limited to, any event arising that is beyond the reasonable control of Independent Forums, including supplier or contractor failure, venue damage or cancellation, public health concerns, industrial dispute, governmental regulations or action, military action, extreme weather, fire, flood, disaster, civil riot, act of terrorism, or war. These terms and conditions shall apply in respect of any rearranged or rescheduled event we organize pursuant to this condition.
We assume no liability for any loss, delay, damage or other liability incurred, resulting from or arising in connection with, the postponement or cancellation of the event, howsoever arising, including but not limited to hotel costs, flight costs, and/or other transfer costs associated with the event.
Any opinions expressed, or statements made by speakers or delegates at the event are in their personal capacities and are not made or expressed on our behalf. All participants attending any event are to maintain the understanding that any information and/or advice provided is to be taken as advice only. Professional consultations should be sought before taking any action. We will not be liable to you for any loss or damage of any kind, whether direct, indirect or consequential, which you may suffer at or in relation to the event.
Photography and Videography
During our events, your image may be captured in photographs or videos which may be used on our website or in marketing material. If you do not wish to be photographed or captured on video, please inform us prior to the event. If your image is captured, you have the right to request we remove it or amend the image, so you are no longer identifiable.
